2. AI-powered chatbots

These bots are more advanced. They use artificial intelligence (AI) and natural language processing (NLP) to understand what users are asking, even if they don’t phrase it exactly how you expect. For example, if someone types “Are you open on Sundays?” the bot will recognize that they’re asking about business hours.

AI-powered chatbots are best for businesses that get a wide variety of questions or want a more conversational tone when interacting with customers.

These kinds of chatbots often come pre-trained with basic conversation skills. You then "train" them further by giving them access to your business information such as FAQs, product catalogs, and service lists. Over time, they improve their responses by learning from actual interactions.

How are AI chatbots trained?

For small businesses, the process is surprisingly simple:

  • Most platforms let you upload your FAQs, website content, or business documents.
  • Using that info, the chatbot builds a knowledge base that it can refer to when answering questions.
  • Many platforms let you review chat transcripts and adjust the responses. Some even automatically refine their answers based on how customers interact.

No coding or tech background is needed. Many services offer drag-and-drop builders, templates, and tutorials that are designed for business managers rather than developers.
